Analyzing information from CRM Database

This could be one of the issues that can occur in workflows due to a large volume of completed or canceled workflow entries in the organization. The tables that are affected by workflow history retention are:

Let’s see how it’s done: -

  • AsyncOperationBase
  • PrincipalObjectAccess(POA)
  • WorkflowLogBase

User can view the workflow execution job details manually in these SQL tables

AsyncOperationBase: AsyncOperationBase is a SQL table that contains your asynchronous processing job execution details (system jobs, workflows and plug-ins).

Steps: -

  1. Connect to the SQL server using “SQL Management Studio”
  2. AsyncOperationBase will be displayed under your organization database (example “abcProd_MSCRM”)
  3. By right-clicking and selecting top 1000 rows, we can find the details of the workflow execution.

  5. Workflow stage name and name fields represent the workflow processing details of the workflow.

Errors can be viewed in the column name “Message”.

Upon analyzing the message, you can determine the actual reason for the failure.

WorkflowLogBase:

WorkflowLogBase is a SQL table with a status of Completed/Canceled/ Waiting for information on the workflows.

Steps:

  1. Connect to the SQL server using “SQL Management Studio”
  2. WorkflowLogBase will be displayed under your organization database (example “abcProd_MSCRM”)
  3. By right-clicking and selecting top 1000 rows, we can find the details of the workflow execution.

You may want to look at “Canceled” workflows since these could have been canceled due to unavailability of certain objects \ resources and might go unnoticed as these things don’t show up as technical errors.

Keeping the size of these tables in check is recommended for optimum performance.
